Project - Contacts

Contact

Here you can maintain detailed records of everybody your organization interacts with. Import your existing contacts through Excel. Contacts can then be associated with a Project, Company, Organization, Community, and Engagement. Then if you need to edit or delete the contact it will make the change everywhere the contact is associated with. Cool huh!?

Project - Sites/Building

Sites/Building

No, this is NOT a property database. It is just meant as a list of properties. It is just a way to track when a property was shown to a Project. Track everything about Sites and Buildings here. If you have some existing structured data, look at the 'Data Imports' section on the left sidebar, we currently have support for import from LOIS and Excel (of a certain structure). If you have any issues just contact us and we'll try to help get your existing data in.

Project - Survey

Survey

Welcome to the Survey section. Here you can send survey's via email or print off, make a personal visit and come back and manually enter responses. You can send survey to investors, existing business, partners, etc. The Dashboard page can show you the results from surveys sent through email or surveys manually filled out. To see the results you can click on the line with the survey or the arrow button on the right. When you click on the arrow you will see a list of those that have been sent the survey or, those you want to input the survey manually. At the bottom you will see Details. Click on details and it will show you the survey results. To complete manual surveys you must do the following: Create an audience. Who will you be visiting? You can always add survey visits too after the fact. Create the survey template. Create a campaign. In this section make sure you click "No" to the question "Send emails with Survey link to audience at launch of campaign" You will need to fill out the subject line and your email address. Click on the "Initiate the Campaign" green button. Now you can click on the arrow or the eye at the far right of the campaign on the Dashboard page and you will see a list of names from the audience you chose. If you are filling out a survey you completed manually you just need to click on the "link" symbol next to the name and it will open up the survey that you can manually fill out.

Project - Activities

Activities

Activities let you keep track of scattered meetings and encounters members of your organization have with prospects and clients. The full team transparency of our system makes it easy to see notes about a lunch another team member had with a client. Activities allow you to track happenings before they're part of a specific project, and you can also easily assign any activity to a project later on. An Activity is where you most likely spend a great deal of your time in the Tracker. If you keep track of all of your daily activities here you will save a lot of time at the end of the month when you have to report all those activities!

Project - Notes

Notes

We know you are asking, so what is the difference between a Note and an Activity!? We suggest a Note be a tidbit of information that you want to remember. Such as, someone shared with you that XYZ Company is planning an expansion, or you were told that The Enormous Company is wanting to expand into the area. You can also send a text (SMS) a Note or leave a voicemail to the Tracker! Go to Settings>Details>User Details>Phone Number Type, choose cell and then Save and then Verify.

Project - Tasks

Tasks

Tasks are most often used as internal to-do's. Think of them as things the team needs to get done. You can assign these to other people in your organization, or to yourself.

Project - Files

Files

Manage all your files here. You can associate them to a specific project so they're easy to reference from the Projects area, or leave them unassociated if they're just general purpose files.

Project - Emails

Emails

We do our best to auto-associate emails to Contacts, Projects, Companies, Engagements, Activities, Communities. but when are are unsure we leave them unassigned and allow you to make the association from this main Mailbox page. You can change associations at anytime. How does this work? Here is an example: You have a project called Project Timber. In whatever email system you are using you create a contact called "Project Timber". Copy and paste the unique email address provided by the Tracker and put it in this newly created contact. You will then BCC "Project Timber" whenever you send an email related to Project Timber and it will show up in the Tracker a few minutes later. It does not happen instantaneously! It has a few miles of wires to run through!

Project - Organizations

Organizations

What is an organization? Why aren't they just in the Company section!? Mind reader, right!? We know what you do every day (no no we aren't watching you!). We understand what you do every day and know that you interact differently with an organization compared to a Company. Organizations are typically your partners in crime in economic development. They will most likely work with you on a Project or Engagement.
