How to Enter a Survey Manually After In-Person Visit
1. Make sure the Company you visited is in EDC Forge
a. Go to Company section, type in the Company name in the Search field at the top right of the Company list.
i. If Company not found click on Add New Company (Name is the only required field)
If Company is found click on the Company Name. Click on the Contact tab at the top of the Company Record. Click Add Existing Contact
Type Contact name at the top of the Add Existing Contact pop up window. Click Update & Show List
If Contact name appears, click “Add to Company”
If Contact Name does not appear, click out of the Add Existing Contact pop up and click “Add Contact”
Fill out the Contact form. Click Save at bottom.
2. Add Responder to the campaign
a. Click on “BRE/Surveys”
b. Find the Campaign and click on it. (there could be a slight delay)
c. Click Add “New Responder”
d. At top right of the “Add Responder to Campaign” popup you will see a dropdown where you can choose Contacts, or Companies. If you wish to see the Company name instead of the Contact name in the Responder list, you will choose Company
e. Search for the Company name in the “Search” box
f. Click on the contact name you visited with in the dropdown beside the company name you searched. If only one contact associated with the Company the one name will be the only name in that dropdown
g. Click the box to the left beside the company name
h. You may need to scroll down and click “Add to Campaign”.
i. The Responder has been added to the Campaign
3. Complete manual entry of the survey
a. You will see a Company or Contact name depending on what you chose in 2.d. To the far right of the name you will see four icons. The second one that looks like a chain link is the one you click on to fill out the survey.
b. The survey will open in a new window. Fill it out and click submit.
c. Last step in submitting a survey. After you hit submit in the survey form click on Company/Contact you just entered. A verification screen will pop up making sure the questions that will be mapped to a company record are correct. Look at the responses to make sure they match. In the example below the Number of Full time Employees is blank. Click on the boxes to the far right of those with the darkened words in the “Map With” column.
d. Click on “Import Responder Data”
e. This updates the Company record based on the Survey response to those Mapped questions.
4. Editing a survey Response
a. Click on the chain link symbol of the company/contact survey response just like you did when you first entered the survey results. It will open up the completed survey and you can edit it and click submit.
5. Emailing Respondents if you are unable to visit personally
a. In the campaign, you will need Click Add New Responder. Choose Contact or Company like 2.d. but here you can go through the entire list and pick the responders you want to send a survey to via email.
b. Click Add to Campaign
c. Under Waiting for X number of responses Click Send Email Reminder
d. Choose the companies you want to email the survey to. If it is everyone you can click the box at the top of this list on the far left.
e. This will send an email to the Responders with a link to the survey.
